WE24 Rules & Regulations

  • Participants will obey all rules and regulations of the event venue and abide by the instructions of the WE24 staff. This includes the under-18 policy as it relates to the sessions and exhibit hall.
  • Participants are expected to secure their belongings and take responsibility for them.
  • Participants will not spam or follow other event participants, nor will they post content that is obscene, is otherwise objectionable, or has not been permitted by the owner.
  • Participants will not use WE24 for commercial or advertising purposes. Event organizers reserve the right to escort any individual from the event who is reported to be soliciting and who is not an official attendee, exhibitor, and/or sponsor of the event.
  • If you have been involved in or impacted by a breach of this Code of Conduct (or noticed that someone else has been) or if you have additional concerns, please get in touch with [email protected].
  • Any unwanted solicitation by non-exhibitors (with the exception of special sponsors approved by SWE) will not be tolerated, and violators will be asked to leave the building.

Photography and Video

Participants agree that WE24 official photographers and videographers will take general photography and/or video during the conference. Your image may be used for marketing purposes in print, electronic, and other media, including on the website.

Registration Policies

Use of Promotional Discounts (Promo Codes)
SWE offers promotional discounts for several registration types, such as conference speakers and volunteers. In many cases, the discount is applied to the prevailing rate (i.e., member or nonmember, early or standard).

These discounts, delivered via promo codes, are entered during the registration process. There is a strict limit of only one promotional code for each registration submitted. Please note that some promo codes have a cap and are allowed on a first-come, first-served basis.

WE24 Cancellation Policy
Cancellations and refund requests must be submitted in writing to the Society of Women Engineers and will incur a $50 processing fee; the deadline for cancellations is Oct. 20. Cancellations after this date will not be refunded.

Cancellations for tours can be made at any time with no fee until Oct. 9; after this date, no refunds are given for tours (Not applicable to all sightseeing tours).

If SWE transitions to a fully virtual conference for WE24, all in-person WE24 registrations will be converted to the virtual event.

WE24 Attendee Substitution Policy
An attendee may be substituted anytime prior to Oct. 1. After that date, substitution is not guaranteed. If the original registration is a different registrant type or category, the cost difference will be charged. SWE does not permit the use of badge switching without official attendee substitution.

Guest Policy
Guests of registrants are permitted at a reduced rate and limited to two (2) guests per registrant. Guests must be 12 years or older and coming for the sole purpose of accompanying a registered attendee. All guests require a badge. Additionally, guests over the age of 18 are allowed onto the WE24 Career Fair floor during Career Fair hours only. Guests are not permitted at sessions since attendance is limited, except in rare instances and when approved by SWE. Guests may attend free activities that are open to all attendees, and guests over the age of 18 can partake in any Career Fair floor activities except where there is an intent to recruit or be recruited.

Admission of Infants & Young Children
WE24 is a business event. No one under age 18 will be allowed in the WE24 Career Fair / Interview booths during event hours without a parent/guardian or being part of an SWE-arranged tour. The accompanying parent/guardian must remain with the person under the age of 18 at all times during their visit. No one under the age of 18 will be allowed in the Career Fair / Interview booths during setup or dismantling for safety reasons. Children under 12 years of age are not permitted on the Career Fair floor.

WE24 Code of Conduct

By registering, the attendee agrees and acknowledges that they are undertaking participation in the SWE Annual Conference and adhering to the WE24 Code of Conduct (“Code”). SWE is committed to providing a safe, productive, and welcoming environment for all WE24 participants and SWE staff. All participants, including but not limited to attendees, speakers, volunteers, sponsors, SWE staff members, service providers, and others, are expected to abide by this Code. This Code applies to all SWE events in public facilities or hotels and on public or private platforms. SWE has a zero-tolerance policy for any form of discrimination or harassment, including, but not limited to, sexual harassment by participants or our staff at our events. Please report harassment or unacceptable behavior to SWE leadership by emailing [email protected] so that the appropriate action can be taken.

  • Unacceptable behavior is defined as harassment, intimidation, or discrimination in any form, including verbal abuse of any attendee, speaker, volunteer, sponsor, SWE staff member, service provider, or other conference guests. Examples of verbal abuse include but are not limited to verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, or national origin; inappropriate use of nudity and/or sexual images in public spaces or presentations; and threats or stalking of any attendee, speaker, volunteer, sponsor, SWE staff member, service provider, or other conference guest.
  • Further unacceptable behavior includes disruption of presentations during sessions or at other events organized by SWE during the meeting. All participants must comply with the instructions of the moderator and any SWE event staff. SWE reserves the right to take any necessary or appropriate action, including immediate removal from the conference, without warning or refund, in response to any incident of unacceptable behavior. SWE reserves the right to prohibit attendance at any future events, whether virtually or in person. If you have questions about these guidelines, please contact the SWE staff.

Rules for Posting on Event-Based Platforms (Including the Event App, Awards Hall, and Other SWE-Managed Online Platforms)

  • Do not post defamatory, abusive, profane, threatening, offensive, or illegal statements or materials. All such statements or materials are strictly prohibited and may be removed.
  • Do not attack others. The discussions on the community platforms are meant to stimulate conversation, not create contention. Let others have their say, just as you may.
  • Do not post information or other material protected by copyright without the permission of the copyright owner.
  • Do not post commercial messages. Contact people directly with product and service information if you believe it would help them. Likewise, posts should not contain promotional material, special offers, job offers, product announcements, or solicitations for services. SWE reserves the right to remove such messages and to ban the sources of those solicitations.
  • As an exception, SWE Virtual Summit sponsors will be permitted to post promotional materials at the discretion of SWE and according to the terms of their sponsorship agreement with SWE.
  • Do not post content if it encourages or facilitates members to arrive at any agreement that either expressly or implicitly leads to price fixing, a boycott of another’s business, or other conduct intended to restrict free trade illegally.
  • Do not post content that encourages or facilitates an agreement related to the following: prices, discounts, or terms or conditions of sale; salaries; profits, profit margins, or cost data; market shares, sales territories, or markets; allocation of customers or territories; or selection, rejection, or termination of customers or suppliers. Please use caution when discussing products. The information posted on any platform is available for all to see, and comments are subject to libel, slander, and antitrust laws.
  • Remember that SWE and other participants have the right to reproduce postings. Here are some general tips to help you maintain good etiquette when reproducing content:
    • Be courteous. Please ask participants for permission to republish their words elsewhere (especially if elsewhere is a publicly viewable setting).
    • When citing discussions, please include a link to the original discussion.
    • Do not post anything you would not want the world to see or to know came from you.
    • Post your message only to the most appropriate platforms.

SWE does not actively monitor online communications among attendees or guests at the conference for inappropriate postings and does not exercise editorial control. However, if any inappropriate posting is brought to SWE’s attention, SWE will use commercially reasonable efforts to take appropriate action. SWE, in any case, reserves the right to delete posts or terminate accounts of members who violate these rules in order to preserve a climate that encourages both civil and fruitful dialogue.

Member Rate Qualifications

To qualify for member rates at registration, you must have a current individual membership valid through June 30, 2025, or beyond. Members can log in and renew or join SWE online at any time. Please refer to the registration page for further details.

Purchase Orders

SWE does NOT accept purchase orders as a form of payment.

Text Messaging

WE24 attendees agree to provide a valid mobile phone number at the time of registration. SWE requires a mobile number from attendees for emergency notifications and health and safety protocols concerning WE24. Attendees can opt-in to receive mobile updates about WE24 via text message. Messaging data rates may apply. Participants can respond STOP to opt out of messages.
